Fit the width, not the entire report

A four-page report that is readable is often more useful than the same report compressed onto one page. Confirm whether a one-page delivery is actually required before sacrificing legibility.

Compare the preview before printing

Open File > Print and examine the selected scaling option. Fit Sheet on One Page can explain why a long table has become tiny. Compare it with No Scaling, then return to the width/height settings above if columns need to stay together. Microsoft's scaling guide covers these controls.

Judge the result using an actual detail—a decimal in an amount or a long account label—not just whether the page count decreased. Inspect a middle page and the final totals as well as the first page.

Exclude cells that do not belong in the report

Select the contiguous report range, including its headings and totals. Choose Page Layout > Print Area > Set Print Area. Use View > Page Break Preview to inspect the coverage.

For example, if the deliverable occupies A1:H120, include the final total in row 120 and leave unrelated calculations outside the report. This changes what prints; it does not require deleting those calculations.

Microsoft's print-area instructions note that separate, nonadjacent print areas print separately. If you need one continuous report, check the selected range rather than adding disconnected cells at random. The print area is saved with the workbook, so make this change in a delivery copy if colleagues need the existing setup.

When the columns still will not fit

Try Page Layout > Orientation > Landscape, or a supported larger paper size. Make the selected paper size agree with the printer's settings and loaded paper. Otherwise, the printed result can differ from the preview.

If a smaller number of pages makes the labels unreadable, allow more pages across instead of forcing one-page width. Before delivery, compare the PDF or one printed sample with the preview: all intended columns, the last row, and footnotes should remain visible.
