PowerPoint changes fonts when you send the deck
Check the receiving font, embedding permissions, and character coverage before replacing fonts or rebuilding a PowerPoint slide layout.
If a PowerPoint deck looks right on your PC but its text changes on someone else's, compare the affected text's font with what is available on the receiving computer. For a custom font, embed it only if its format and permissions allow the required use. If the recipient will edit the deck, embed all characters rather than only those already used.

PowerPoint for Microsoft365 desktop on Windows, saved .pptx files. Embedding and replacement steps are Windows-specific; web/mobile preview, Mac menus, animations and linked media are outside scope. Microsoft365 cloud-font availability depends on supported apps, internet access and policy.
Compare one changed text box first
Keep the original deck and make a separate delivery copy before replacing fonts or changing its sharing settings. Choose one affected heading and note its font, style, line breaks, and text-box size on your computer. Compare that exact heading on the recipient's device using the same saved .pptx.
A matching filename is not enough if you sent multiple revisions. If the font looks different across the deck, investigate availability before resizing every box. If only one box wraps differently, compare its text and dimensions too; embedding cannot repair an unrelated layout edit.
Microsoft's custom-font guide explains that installing a font on your computer does not install it on the recipient's. A requested font name in a document is not proof that the other system has the font file.
Choose the right handoff

Do not send the font file merely because it is installed on your machine. Check the font vendor's license for the intended recipient and use.
Embed the font in the delivery copy
These steps are for PowerPoint for Microsoft 365 on Windows:
- Open the delivery copy and choose File > Options > Save.
- Under Preserve fidelity when sharing this presentation, confirm the intended presentation and enable Embed fonts in the file.
- For an editable handoff, choose Embed all characters (best for editing by other people).
- Select OK, save the deck, and read any font warning before sending that saved file.
Microsoft's embedding guide notes that including only used characters restricts later editing. For example, a recipient changing Draft to Approved needs letters that may not have appeared in the original heading. Embedding increases file size, so compare the actual saved delivery rather than a copy made before this setting changed.
A save warning names an unembeddable font
In Windows, search for fonts and open the Fonts control panel. Select the named font and inspect Font embeddability in its details; maximize the window if that detail is hidden.
- Editable or Installable permits embedding.
- Preview/Print allows viewing and printing on a computer without that font, but not editing there.
- Restricted / No embedding does not allow embedding.
Microsoft's font-save troubleshooting page also identifies unsupported types such as PostScript Type 1 and Apple Advanced Typography. An .otf or .ttf extension alone does not override the creator's restrictions. Do not modify a font's permission flags as a workaround.
If a replacement is agreed, use Home > Replace > Replace Fonts in the delivery copy. Choose the affected font under Replace and the agreed font under With, then replace and close. Microsoft's replacement instructions cover this desktop command; it is not available in PowerPoint for the web. Review headings, dense slides, symbols, and line breaks afterward instead of assuming the replacement has identical spacing.
If the font comes from Microsoft 365
Microsoft's cloud-font guidance requires an internet connection to obtain cloud fonts. On the receiving Windows installation, inspect File > Account > Manage Settings under Account Privacy and Optional connected experiences. This preference affects other online services too; follow workplace policy and ask IT if it is locked or the font service is blocked.
Reopen the actual file on the receiving device
Have the recipient close and reopen the saved delivery. Compare the heading you selected, then another slide with dense text. For an editable handoff, try the planned wording change in a copy and inspect the new characters and wrapping.
For an unresolved substitution or save warning, use Microsoft Support. Provide both PowerPoint versions, the font name, the embeddability value, and the warning text. A sanitized one-slide sample is preferable to a confidential client deck.
