OneDrive files will not open offline: check availability before you travel

Confirm that the file is actually on the device

For a client deadline, start with a small project folder rather than the entire cloud library. Include the documents and assets you actually need. Keep an independent copy of irreplaceable work before changing its storage arrangement.

Read Windows availability indicators

In Windows File Explorer, a cloud indicates an online-only item. An outlined green check identifies a downloaded, locally available item. A solid green circle with a white check identifies an item set to remain available. Right-click the required file or folder to change its availability. Microsoft's icon reference explains these states.

Do not delete a placeholder to reclaim local space: deleting a OneDrive item can delete it from the cloud too. The storage command Free up space serves a different purpose and makes the local content online-only, as described in the Files On-Demand guide.

If a previously downloaded file becomes online-only

On Windows, Storage Sense can change eligible cloud files back to online-only. Check Settings → System → Storage → Storage Sense and review the cloud-content section. Microsoft says that files explicitly kept on the device are excluded from that cleanup behavior. See the Storage Sense documentation.

There is usually no need to change all of your cleanup settings for one trip. Mark the required project items instead, then confirm their state and available disk space before disconnecting.

On Mac, do not judge by the cloud symbol alone

Windows icon rules do not transfer directly to modern macOS. On macOS 12.1 and later, Microsoft documents a case where an unopened offline item shows both a cloud and an always-available indicator. The cloud disappears after the item is opened. The Files On-Demand experience is integrated with macOS and cannot simply be turned off. Consult the Mac-specific guidance if the indicators appear contradictory.

Make a small pre-departure check

Save and close active work before checking offline access. Once downloading has finished, briefly disconnect and open a representative file you will need. Reconnect afterward. This is a suggested check to perform on your own device, not a test result from Worktool Notes.

If the item still cannot open, record its availability indicator and the exact error. Check whether the same file opens in OneDrive on the web while connected. Avoid unlinking accounts, clearing folders, or resetting the app while diagnosing a single file.

For a work or school account, give these details to your IT administrator. For a personal account, use the Contact Microsoft Support option in the Files On-Demand documentation. Offline availability cannot resolve a missing cloud file, an account-permission problem, or an application that itself needs an online service.
