Google Drive PDF-to-text conversion loses words or layout: separate OCR from formatting

Decide what needs to survive the conversion

Before uploading, confirm that you are permitted to put the document in that Google account. For a diagnostic sample, use a non-confidential page rather than a client contract, identity document, or an entire private archive.

Make one small conversion you can inspect

Google's PDF and photo conversion guide recommends a file no larger than 2 MB, upright text at least 10 pixels high, and a sharp image with even lighting and clear contrast. It supports PDFs and JPEG, PNG, and GIF images.

1. Choose a short representative file and preserve its original.
2. In Drive on a computer, right-click the file and select Open with > Google Docs.
3. Compare the resulting text with the original page before converting more material.

Those are preparation recommendations, not a promise of recognition accuracy. Avoid reducing a clear scan until the letters become unreadable just to make its file size smaller. If necessary, obtain a better source or prepare a smaller representative excerpt using a tool you already trust.

Choose the next check by the kind of error

Google warns that lists, tables, columns, footnotes, and endnotes are unlikely to be detected reliably. Repeatedly opening the same file is not a layout-repair method. A conversion that preserves a heading does not establish that the rest of the structure survived.

Check meaning before polishing the appearance

Select a few content checks that matter to your use: a name, a date, a decimal value, and a line near a column boundary. Compare them character by character with the source. Then check the order of paragraphs and whether a value stayed attached to its label.

For a table, do not accept an apparently sensible total until the corresponding row labels and amounts have been checked. Formatting the converted text can make errors look more convincing without correcting them. These comparison steps are our editorial suggestions, not results from a conversion test.

If conversion is still unusable

Ask for the original editable document when possible. If the source is clear and within Google's recommendations, use Need more help? on the official conversion guide. Report the file type, size, language, browser, and whether the problem is character recognition or layout. Share only a permitted, redacted sample.
