Google Drive files are missing offline: check the file type and sync mode

A visible file name is not an offline readiness check

Our suggested final check is practical: while still online, finish preparation; then briefly disconnect and open the files you actually need. Reconnect afterwards and let outstanding changes synchronize. Perform this check before a deadline, not while the only usable network is disappearing.

Google Docs, Sheets, and Slides use browser offline access

Google’s offline instructions require Chrome or Microsoft Edge, the Google Docs Offline extension, adequate device storage, and an initial internet connection. Private browsing is excluded.

In the intended browser profile, open Drive settings and enable the option for creating, opening, and editing recent Google editor files offline. Then return to Drive and right-click each required document; choose Make available offline.

At the top right of Drive, open Ready for offline → Offline preview to inspect availability. Wait for the required documents to become ready before disconnecting. A document’s entry in Finder or File Explorer does not replace this browser setup.

For client work, choose a trusted device and browser profile. An offline workflow stores work on that device, so a shared computer is a poor place to prepare confidential drafts.

PDFs, images, and video files depend on desktop sync mode

With streaming, select the needed files for offline access instead of assuming the entire folder has downloaded. Google documents Offline Access → Available offline in Windows and Available offline in Finder. Allow enough time and disk space for the transfer.

Mirroring stores My Drive files locally as well as in the cloud. Shared drives use streaming, so mirroring My Drive does not automatically prepare every shared-drive asset. Google’s streaming and mirroring guide explains the distinction.

Do not switch the whole account to mirroring as a quick response to one missing file. First estimate the local storage required and confirm existing changes have synchronized. A mode change is a separate storage decision.

Windows and macOS do not behave identically

Windows streaming and the legacy Mac streaming method require Drive to be running for access. Current macOS File Provider integration behaves differently: downloaded and locally created files can remain accessible when the Drive app is closed. Google documents that distinction in its macOS guide.

Keep Drive running during preparation on either platform. If a Mac reports that macOS controls the streaming folder location, treat it as File Provider rather than following old virtual-drive instructions.

Protect edits before changing the setup

Do not disconnect the account to fix offline availability: Google warns that offline streamed files are removed on disconnection. If offline work and another collaborator’s edits overlap, reconnect and review the document before continuing. Google Docs version history can help inspect changes; it is not a promise that every conflict will resolve as intended.
